Information we collect and why
We collect information you provide when contacting us or booking our services, including your name, contact details, service address, access instructions, correspondence and booking information. We also process invoice and payment records.
We use this information for the following purposes and lawful bases:
- Quotations, bookings, cleaning services, appointment communications and payments: taking steps at your request before entering into a contract, or performing an agreed service booking.
- Accounting, tax records and legally required disclosures: compliance with legal obligations.
- General enquiries, business customer communications, website security, complaints, unpaid charges and legal claims: our legitimate interests in operating and protecting our business, balanced against your rights.
- Publishing work photographs containing personal information: your consent.
Without the necessary contact, service address and booking details, we may be unable to provide a quotation or carry out the requested service.
Our hosting provider also processes technical information, such as IP addresses and server logs, to operate and protect the website.
Who receives your information
We use Aworka, provided by Tin Cloud Ltd, for customer records, scheduling and invoicing; Hostinger for website hosting; Gmail for email; and telephone, SMS and banking providers for communications and payments. If you communicate with us through WhatsApp, that service also processes your information.
Relevant information may also be disclosed to professional advisers, insurers, courts or public authorities where necessary for their services, legal obligations or claims.
Our website server is in France, and hosting backups are stored in Lithuania. Technology and communication providers may also process information outside the United Kingdom.
For relevant international transfers, Hostinger’s published data processing terms provide contractual safeguards, including the UK Addendum where applicable. Google describes reliance on adequacy arrangements, including the UK Extension to the EU–US Data Privacy Framework, and contractual safeguards where required. Aworka describes adequacy arrangements or UK-approved contractual safeguards for relevant transfers.
Contact us for further information about applicable transfer arrangements and how to obtain copies of safeguards.
How long we keep information
When you cancel your service, we remove your customer record from Aworka, while retaining records separately where required for accounting, tax or other legal purposes.
Accounting and tax records are generally retained for six years from the end of the relevant company financial year, or longer where legally required.
Contact details and correspondence are retained only for as long as necessary. We determine this by considering whether the customer relationship remains active, whether further communication is reasonably expected, and whether information is required for outstanding payments, complaints or legal claims. Information is deleted when it is no longer needed.
Photographs containing personal information are retained for their stated purpose and, where relevant, until consent is withdrawn, unless another lawful reason requires retention.
Deleted information may remain in backups until those backups expire or are overwritten.
Browser storage
WordPress stores an emoji display compatibility result named “wpEmojiSettingsSupports” in session storage. This supports the display of emojis and normally expires when the relevant browser tab or window closes.
WordPress may also use cookies for administrator authentication and login preferences.
Your rights
Depending on the circumstances, you may request access to your personal information, correction, deletion, restriction of processing or transfer of eligible information in a portable format.
You may object to processing based on legitimate interests.
Where processing relies on consent, you may withdraw it at any time by emailing garywindowcleaning@gmail.com. This does not affect processing that was lawful before withdrawal.
